How much does the transfer cost?

Where will the driver meet us?

Send the exhibition name, hall number, South or North Entrance Hall, and a location pin. An entrance name helps identify your location; it does not guarantee that vehicles can stop at the door. The driver will confirm a permitted meeting point under the event’s traffic arrangements. The venue’s official transport information can help you identify the entrances.

• Leaving directly from the exhibition: allow time to walk from your stand, meet colleagues and load luggage before pickup.
• Hotel pickup: provide the full hotel name, address and lobby location, rather than the brand alone.
• Colleagues in different halls: agree on one meeting point before requesting the car.
• Exhibition breakdown day: send the number and dimensions of sample cases before vehicle confirmation.

When should we leave for our flight?

Work backwards from the flight departure: subtract your airline’s required airport arrival allowance, the road and border budget, and additional contingency time. For initial planning, allow 2–3 hours for roads and border procedures and around 3 hours at the airport. This gives an initial departure plan roughly 5–6 hours before the flight, earlier during exhibition exit peaks or poor weather. These are planning suggestions, not universal airline requirements or guaranteed travel times.

For example, for a 20:00 flight, a target airport arrival of 17:00 and a three-hour road and border budget suggest a 14:00 pickup. Finish walking, gathering the group and loading before that time; add further contingency by leaving earlier. Check the airline’s check-in, bag-drop and boarding deadlines for your actual flight.

The exhibition closing time is not the time your vehicle leaves the venue. If the final meeting leaves little time before the flight, first confirm whether you can leave the exhibition earlier.

Border arrangements and T1 / T2 drop-off

Dispatch confirms the route and crossing based on your pickup address, vehicle permits, operating hours and current conditions. Passengers or luggage may need to leave the vehicle for checks; follow on-site instructions.

Drop-off is arranged for your flight’s actual check-in terminal and a permitted unloading point. T2 departure facilities opened on 27 May 2026, so T1 should not be assumed for every flight. Check your flight before departure and see the Hong Kong Airport official T2 announcement.

Passengers, luggage and exhibition samples

A seven-seat Alphard includes the driver and can carry up to six passengers. It does not necessarily fit six passengers and all their large suitcases. Send adult and child counts, suitcase dimensions and sample-case quantities. Include dimensions for a folding wheelchair, stroller or long item. We confirm loading against the assigned vehicle and can discuss splitting a group between cars.

Fitting an item into a car does not establish whether it can cross the border or be carried on a flight. Confirm any requirements for samples, batteries or unusual items with the relevant authorities and airline.

How to book

You can request these pickup locations. The final meeting point depends on event traffic controls, permitted vehicle access and the driver’s confirmation. Hotel pickups require the full name and address.

Can six passengers and exhibition samples fit in one Alphard?

The seven seats include the driver, leaving up to six passenger seats. Luggage and sample capacity must be checked separately using item counts and dimensions; a second vehicle may be needed.

Do passengers need to get out at the border?

This depends on the crossing, direction, lane and on-site instructions. Passengers or luggage may need to leave the vehicle for inspection; remaining in the car throughout cannot be guaranteed.

Will we be dropped at T1 or T2?

Confirm the actual check-in terminal for your flight. T2 departure facilities are operating, so not every booking should use T1. Provide your flight number and check airline and airport information before departure.
